HCM Replacement and ERP Modernization Project

As part of ¶¶Òõ̽̽’s commitment to providing our community with the resources needed to be successful and to support our strategic goals, Human Resources, Enterprise Technology Services, and the have initiated the process to modernize key ¶¶Òõ̽̽ systems and resources. We have engaged Huron Consulting Group to assist ¶¶Òõ̽̽ in planning for the near-term modernization of the Human Capital Management (HCM) system (PeopleAdmin and a portion of PeopleSoft) and longer-term prospective Enterprise Resource Planning (ERP) system modernization of the finance and student administration systems.

¶¶Òõ̽̽ must improve the HCM foundational system to keep pace with technologies that will better support the employee experience. We are seeking a more user-friendly experience that will also allow ¶¶Òõ̽̽ to recruit and hire prospective candidates in a more seamless process.

Improving this platform will have longer-term impacts as well, such as improving our ability to make data-informed decisions, implementing security safeguards, and serving our faculty, staff, and students for years to come.

Project Update (1/1/25)

  • Thank you to all who have participated in the HCM / ERP Modernization Discovery effort! Over the past few months, we heard from you and your teams about areas of opportunity and ways we can improve how work gets done at the university.
  • Since we began this project in August, we have learned a great deal through:
    • Interviews (~60 participants)
    • Functional Diagnostic Questionnaire (~125 participants)
    • Technical Sessions (~30 participants)
    • Sponsor and Planning Team Roundtable Topics (6+ sessions)
    • Peer Panels with Other Universities (5 panels)
    • As well as various other discussion and focus group forums.
  • From these discovery efforts, we have learned information that indicates that there is a clear opportunity to transform the way we do work, particularly in how technology supports the HR function.
  • Current state findings, opportunities for improvement, and a preliminary path forward were shared with the Steering Committee on 12/18 with the intention of addressing these current state needs. Following this discussion, the Steering Committee will be providing feedback and insights on how to support future HCM modernization efforts. At this time, there has not been a formal decision on when an HCM replacement would take place, nor has there been a decision on the supporting technology that would enable this change.
  • The Steering Committee will reconvene at the end of January to further discuss how and when additional activities would be prioritized. From here, updated recommendations on the path forward will be shared with Executive Sponsors for consideration.

¶¶Òõ̽̽ has engaged Huron Consulting Group to assist us in this work. They are a leading organization in defining and applying best practices for preparing and planning for cloud migrations with a holistic lens towards modernization.

We want to hear from you! Huron will distribute a questionnaire to a broad group of constituents to give you the chance to provide input. The questionnaire is designed to help prioritize opportunities for ¶¶Òõ̽̽ to improve, enhance, or standardize its processes, policies, and operating practices within the context of the future systems transformation. It includes approximately ten questions that respondents will answer for the sub-functions (e.g., accounts payable, compensation) with which they work most frequently. For each of the in-scope functions (Human Resources, Finance, and Student), respondents are asked to complete questions on the following topics: technology accessibility and usability; data and reporting; roles and responsibilities; policy and process consistency, clarity, and level of manual effort/automation; and resource alignment.
